General Description:

The Program Assistant is responsible for providing administrative and other support to program leaders.


  • Providing general administrative support to the program team, including making copies, keeping schedules and sending out reminders of upcoming appointments, making travel arrangements, filing, submitting expense reports, placing phone calls, note taking, writing summaries of meetings and events, and typing and proofreading/editing correspondence, articles, reports, etc.
  • Assisting program team with travel authorization requests, cash disbursement requests, and expense reports
  • Coordinating the activities of the program team interns
  • Compiling and sending bulk mailings
  • Providing research support
  • Creating Power Point and other presentations for program team
  • Updating and editing the website and preparing social media posts
  • Promoting and exhibiting loyalty to ICMEC’s mission
  • Promoting a professional image
  • Communicating with co-workers, management and others in a courteous and professional manner
  • Responding promptly when returning telephone calls and replying to correspondence (electronic and otherwise)
  • Conforming with and abiding by all regulations, policies, work procedures, and instructions
  • Performing other duties as assigned


  • Bachelor’s Degree required
  • At least (1) year of related experience preferred


  • Spanish language fluency preferred but not required
  • Excellent computer skills, including a high degree of proficiency in Microsoft Office and Google Suite required
  • Excellent oral and written communication skills
  • Adaptability, flexibility and ability to work independently and as part of a team
  • Ability to prioritize, successfully complete multiple tasks with attention to detail and meet deadlines
  • Ability to handle and maintain the integrity and confidentiality of highly sensitive material and information
